How To Send Encrypted Emails

How To Send Encrypted Emails

Email is still the most important business communications tool and the leading attack vector for security breaches. Cisco Registered Envelope Service (CRES) offers a cloud email encryption solution that provides enhanced security and reliable controls for business emails. It is fully integrated with the Cisco Email Security workflow and into a user’s daily email routine.

Benefits of CRES
  1. Can be triggered by a policy or by Data Loss Prevention (DLP)
  2. Securely send emails with confidential or sensitive information
  3. Recipient needs to authenticate to CRES to open the email
  4. Helps ensures compliance (HIPPA, PCI, SOX, GLBA, PIPEDA, and GDPR)
How to Send an Encrypted Email

Outside of defined DLP policies, to send a secure encrypted email, just add the following keyword to the subject line "Secure:" as shown below. The keyword is configurable, in this example we used "Secure:"

You can also install the Outlook Plug-in to send a secure message and enable additional settings outside of the default profile. The Outlook Plugin is only supported on Windows 10.

How Your Recipient will See the Encrypted Email Message

Your encrypted email message will be sent using a secure HTML envelope which will require the user to authenticate to be able to view the message contents. This will ensure that the message cannot be accessed in the event if the users computer or email account has been compromised. To view the message the recipient would need to open the attached HTML file.

If this is the first time you sent an encrypted message to the recipient, they will need to register and create their account before accessing the message. The following steps below show the steps the user performs to create their account and to activate it. This is a one time process.

One Time Registration to CRES Service

Recipient Login to Access Message

The Secure Message

Depending on how you sent the message the recipient will have certain restrictions such as being able to reply, reply to all and to forward the message. In this example, the recipient is only allowed to reply to the sender. They cannot forward the message.

Sender Secure Message Read Receipt
The sender of the message will also receive a read receipt when the receipt authenticates and reads the message.
